Job Opportunity: Mystic Chorale Administrative Director

The Mystic Chorale seeks an engaging, collaborative and self-directed individual to coordinate and execute the Mystic Chorale’s administrative activities, including communications, logistics, technology and volunteer management.

The Mystic Chorale is a nonprofit, non-auditioned community chorus based in Arlington, MA. Our mission is to make music a participatory experience, promoting singing as an act of compassion, while exploring through song the musically rich and diverse cultures that abound in this world. We welcome all who love to sing! Approximately 150-200 singers participate in 3 seasons per year, with concerts in the fall, winter and spring.

This is a part-time, independent contractor position, averaging approximately 20 hours per week (more or less, in relation to concert seasons). This is a flexible, primarily work from home position, with attendance required for one weekly rehearsal (Tuesday evenings, September – May or June), one monthly Board meeting (currently on Zoom), and 3 concerts per year (fall, winter & spring).

The Administrative Director reports to the Mystic Chorale Board of Directors.

PRIMARY RESPONSIBILITIES:

Communications: Email Marketing, Website and Singer Surveys

  • Create email marketing schedule
  • Create, design, write and send emails using Constant Contact, including weekly singer emails and marketing emails for singing opportunities, concerts, events and fundraising
  • Manage email lists and tags
  • Update website; create new seasons, pages, posts and products as needed
  • Generate reports including singer lists, ticket purchasers, etc.
  • Design, distribute and analyze surveys of singers at the end of each season

Volunteer Coordination

  • Recruit, train and manage volunteers to fill essential roles at rehearsals, concerts and other Mystic activities
  • Create and update volunteer job descriptions and instructions
  • Help cultivate culture of volunteerism within the community

Rehearsal and Concert Logistics

  • Oversee volunteers for rehearsals and concerts
  • Manage space reservations for rehearsals
  • Work with Music Directors to create and distribute music packets and practice recordings
  • Manage livestreaming of rehearsals with volunteers using YouTube Live
  • Manage livestreaming of concerts with professional vendor and volunteer camera operators

QUALIFICATIONS & CHARACTERISTICS:

  • Outgoing personality, interested in creating community, able to engage volunteers. Ability to work with a wide range of personalities.
  • Strong organizational skills, including a keen attention to detail, demonstrable follow-through, and ability to juggle multiple projects in ongoing stages.
  • Demonstrated experience and comfort with technology. Willingness and ability to learn new systems and technologies. Familiarity with the following a plus: Constant Contact (or similar), WordPress (or similar), YouTube, Zoom, Photoshop, Adobe Acrobat, Google Suite, Microsoft Suite.
  • Ability to work independently, meeting timelines and deliverables with minimal supervision.
  • Appreciation for choral music, culture, and people across a rich mix of traditions, genres, and identities.

Pay range: $25-28/hour
